Who we are. Scribby LLC (“we,” “us,” “our”) operates Scribby and scribbynotes.com (the “Site” and “Service”).

1) What this policy covers

This policy explains what information we collect, how we use it, who we share it with, and your choices. It applies to Scribby, scribbynotes.com, and any services that link to this policy.

2) Information we collect

a) Account information

  • Basic account details: name, email address, profile image/avatar, login provider, and account settings.
  • Education information: education level and related onboarding responses you choose to provide.
  • Referral information: how you heard about Scribby, if you choose to provide it.
  • Subscription information: plan type, subscription status, billing period, cancellation status, and payment processor customer/subscription identifiers.

b) Content you create, upload, or store in Scribby

  • School notes and study materials: notes, documents, study guides, notecards, summaries, folders, file names, and related metadata.
  • Recordings and audio files: audio recordings you create or upload, including microphone, lecture, class, meeting, or study-session recordings.
  • Transcripts: text generated from your recordings or audio files.
  • Generated study content: summaries, notecards, study guides, and other AI-assisted outputs created from your materials.
  • Sharing data: information about files or folders you share with other users, including recipient email addresses and access permissions.

c) Information you provide through forms or support

  • Contact forms: name, email, message, and any other details you provide.
  • Support requests: messages, screenshots, error reports, and related information you submit when asking for help.
  • Email preferences: your subscription status and communication choices.

d) Information collected automatically

We may collect limited technical and usage information when you use Scribby, including:

  • Usage data: pages viewed, features used, files opened, actions taken, timestamps, referring page, and approximate location such as city/country.
  • Technical data: IP address, user-agent, browser, operating system, device information, request metadata, logs, and error information.
  • Storage and usage data: summary credits used, audio storage used, generated content counts, and other plan-limit information.

We do not currently use third-party ad trackers. We may use first-party, cookie-free analytics or similar privacy-conscious analytics to understand how Scribby is used and improve the Service.

3) How we use your information

  • Provide Scribby: create accounts, save notes, store recordings, generate transcripts, organize files/folders, and provide study tools.
  • Generate study materials: create summaries, notecards, study guides, and other learning content from materials you provide.
  • Maintain your account and subscription: manage plans, usage limits, billing status, cancellations, and account access.
  • Improve the Service: diagnose bugs, improve performance, understand feature usage, and plan new features.
  • Respond to inquiries: provide support and answer messages you send us.
  • Send service emails: account updates, transactional messages, security notices, billing notices, and requested communications.
  • Send marketing emails: newsletters or product updates only when permitted by law or when you opt in.
  • Security and abuse prevention: detect suspicious activity, enforce limits, prevent spam, protect accounts, and maintain service reliability.
  • Legal compliance: comply with applicable laws, enforce our terms, and respond to valid legal requests.

4) AI processing

Scribby uses AI and transcription features to help generate summaries, notecards, study guides, transcripts, and other study materials. When you use these features, the content you submit may be processed by us and by service providers that help power those features.

This may include notes, documents, recordings, transcripts, and generated outputs. We use this information to provide the requested feature, maintain reliability, prevent abuse, and improve Scribby. We do not sell your notes, recordings, transcripts, or study materials.

5) Legal bases for processing (EEA/UK)

  • Contract: to provide Scribby, maintain your account, store your materials, process subscriptions, and deliver requested features.
  • Consent: for marketing emails and certain optional features where consent is required.
  • Legitimate interests: for security, abuse prevention, analytics, diagnostics, product improvement, and responding to messages.
  • Legal obligation: where we must retain or process information to comply with applicable law.

6) Payments and billing

Paid subscriptions are processed by our payment provider. We may receive and store billing-related information such as your plan, subscription status, billing period, payment processor customer ID, and subscription ID.

We do not store your full credit card number. Payment information is handled by our payment processor according to its own privacy and security practices.

7) Emails

  • We may send transactional emails related to your account, subscription, security, support requests, or important Service updates.
  • We send marketing emails only when you opt in or as otherwise permitted by law.
  • Marketing emails include an unsubscribe link. You can also email privacy@scribbynotes.com to opt out.
  • Our email system may record basic events such as sends, deliveries, opens, clicks, bounces, and unsubscribes to improve reliability and respect your preferences.

8) Analytics and tracking

  • We may use first-party analytics to understand how users interact with Scribby and improve the Service.
  • We do not sell personal information and do not use third-party advertising trackers to profile users for ads.
  • If we use cookie-free analytics, we may collect page views, feature usage, clicks, timestamps, approximate location, IP address, user-agent, and request metadata.
  • You can request analytics opt-out by contacting privacy@scribbynotes.com.

9) Sharing your information

We share information only as needed to operate, secure, and improve Scribby. This may include sharing information with:

  • Hosting and infrastructure providers that run the Site, app, databases, file storage, and related systems.
  • Storage providers that store notes, study materials, recordings, transcripts, generated content, and attachments.
  • AI and transcription providers that help generate summaries, notecards, study guides, transcripts, and related outputs.
  • Payment processors that handle subscription billing and payment processing.
  • Email providers that send transactional emails, product updates, and support communications.
  • Analytics and diagnostics providers that help us understand usage, diagnose errors, and improve reliability.
  • Other users you choose to share with when you share files, folders, notes, or study materials through Scribby.

Service providers are expected to process information only as instructed by us and for the purposes described in this policy. We do not sell your personal information, notes, recordings, transcripts, or study materials.

10) Data retention

  • Account information: retained while your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements.
  • Notes, study materials, folders, and generated content: retained until you delete them, close your account, or request deletion, subject to backups and legal requirements.
  • Recordings and transcripts: retained until you delete them, close your account, or request deletion, subject to backups and legal requirements.
  • Billing records: retained as needed for accounting, tax, fraud prevention, and legal compliance.
  • Email list data: retained until you unsubscribe or request deletion.
  • Server, analytics, and security logs: retained for a limited period, typically 30–90 days, unless needed longer for security, debugging, fraud prevention, or legal reasons.
  • Backups: deleted information may remain in encrypted or restricted backups for a limited period before being overwritten or deleted.

11) Security

We use reasonable technical and organizational measures designed to protect your information, including TLS in transit, access controls, and least-privilege practices. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

You are responsible for keeping your login credentials secure and for only uploading materials you have permission to use with Scribby.

12) International transfers

Your information may be processed outside your country, including in the United States or other countries where we or our service providers operate. Where required, we use appropriate safeguards, such as standard contractual clauses or similar protections.

13) Your rights and choices

Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of your information; object to certain processing; or withdraw consent for marketing communications.

You can manage some information directly in Scribby. To exercise privacy rights, contact privacy@scribbynotes.com. We may need to verify your identity before completing your request.

California (CPRA): We do not “sell” or “share” personal information as those terms are defined by CPRA. California residents may request access, correction, deletion, or disclosure of certain information by contacting privacy@scribbynotes.com.

14) Student and school-related content

Scribby is designed to help users create, organize, and study from notes, recordings, transcripts, and other educational materials. Your notes and study materials may contain personal or school-related information depending on what you choose to upload or create.

You should only upload recordings, notes, documents, or other materials that you have the right to use and process through Scribby. If Scribby is used through a school, teacher, or organization, additional terms or agreements may apply.

15) Children’s privacy

Scribby is not intended for children under 13 unless use is authorized by a parent, guardian, school, or other authorized adult as permitted by applicable law. We do not knowingly collect personal information from children under 13 without appropriate authorization.

If you believe a child has provided us personal information without appropriate authorization, contact privacy@scribbynotes.com and we will take appropriate steps.

16) Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version here and update the “Last updated” date. If changes are material, we may provide additional notice where appropriate.
